Duration Tracking Mode
OnArrival app | Cvent | 2020

Background
There is a type of events called higher education events, where attendees earn academic or professional certifications. (Ex: Medical professionals attend to learn about new treatments and technologies.)
Event planners work with accrediting bodies to enforce strict attendance requirements, including tracking how long each attendee stays in a session room. If someone steps out, the Proctor on site must log that time to calculate the total attendance duration for credit eligibility.
Problem
At the time, OnArrival app only recorded a single check-in and a single checkout timestamp per attendee. Any other timestamps had to be hand written by the Proctor to keep track of who went in and out of the room at what time. Afterwards, Proctors had to calculate the total attendance duration for each attendee, which ultimately determined their accreditation result.
Solution
The updated backend allowed for multiple timestamps per attendee and automatically label alternating stamps as time in and time out. This was an obvious and essential update.
For security reason, however, I added a friction to the flow by having the Proctor confirm the check in or out determination. This eliminated the concern of mislabeled timestamps.
I also noted that this feature is most effective for a session with 100 or less attendees in a room with a single door and a single proctor. This was to ensure that Proctor’s experience is not an overwhelming on site.
Impact
This feature went in production in Q1 2021, and had since increased the user satisfaction rate to 71%
Higher education events were a growing and reliable share of Cvent’s On-Site Services revenue. With this feature being the most anticipated function in the app, this design directly supported the success of our department.
